How to create a new template using Cloud Letters

  1. Open Cloud letters and click on the template tab. 
  2. Click new and adjust the margins for extra room, click on page layout, margins, and choose narrow.
  3. To insert the logo, click insert and click picture, you can locate your logo in your computer files.
  4. Reduce the size by clicking on the image, holding one of the corners, and adjusting as you hold shift on the keyboard to make sure you do not distort the image.
  5. And on the other cell on the right, you can add practice information.
  6. Click home and align with the right margin.
  7. Add the name of the practice, doctor, address, and phone number by using a token, so from the token merge data fields, you can select practice information.
  8. Once you select practice, the data fields for the practice are listed in alphabetical order.
  9. Add the practice title, you can change it to bold or modify the size of the font.
  10. Click insert the address 2, in case of a suite number when available and, make sure you have a space in between the two tokens.
  11. And then on the next line, add the city, the practice state and zip code.
  12. Make sure there is space between the two sets of arrows.
  13. And click save and make sure you continue to save your work.
  14. Add the greeting, the referring doctor will vary depending on the patient, so select a token under referring doctor.
  15. Select the last name or first name.  
  16. Click enter for a new paragraph.
  17. Simply type what you normally like to add in your report.
  18. Under the merge data fields, search for patient information.Insert the patient’s first and last name, the tooth number, and the other tokens to build your template.
  19. After writing what does not change in your report, select the tokens to complete the gaps.
  20. The tooth number, search using the filter.
  21. Under case information you will find the tooth number.
  22. Repeat with the patient’s first name and last name and adjust as needed.
  23. The completion date in TDO is always entered in the final report tab, select this area to find the case   completion date and click insert.
  24. The diagnosis is entered under the testing tab on the patient’s chart in TDO.
  25. Search for pulpal and periapical diagnosis under testing and click insert.
  26. The post op prognosis is also entered under the final report tab, search for the tokens and insert.
  27. Select the token, depending on what was previously entered, it will populate into the template.
  28. Add the patient’s name again in this sentence. You can copy and paste a token as well.
  29. Adjust and add spaces where needed.
  30. We have a special token called final treatment note.Click insert and now and the note entered on the final report will always populate into this report.You can adjust spaces and add the doctor’s name token next.In case of multiple doctors in the practice, the treating doctor name will load into the template every time. Select name long for the doctor’s name and last name.
  31. Click insert.
  32. Now test this template, the referring doctor’s first and last name will populate into the letter, the final note, and any other information you want to share.
  33. Test reset, save and close! Make sure you set the default delivery option. 

Keep in mind the tokens will complete all key information automatically!
